We collect the information necessary to be able to find suitable job, study, and visa opportunities and further information needed so our team can assess your eligibility through the different stages of recruitment or application processes. This information includes your name, personal and corporate email address, postal address and telephone number, educational records and training, work history and performance, CV/resume, right to work or study documentation, compliance and identity documentation, references, and links to your professional profiles available in the public domain, e.g., LinkedIn, business Facebook, or corporate website
Depending on the nature of the opportunity or service you are being considered for, and the applicable jurisdiction, we may need to collect and process special categories of personal data about you, which may include information about your health (including details of any sick leave), disability status, criminal convictions (if relevant), or membership of professional or trade associations. Please see section 10 below for the legal basis for such processing
With your consent, your image and/or voice may be recorded where you are participating in webinars, events, or video interviews. Depending on local laws, we may also record telephone calls with our consultants for training or operational purposes. Our systems may also identify your telephone number and record call details
As part of our commitment to equality of opportunity and to monitor compliance with our policies, we may ask you to complete an equality monitoring form voluntarily and anonymously for statistical analysis
We may also collect information such as your name, email address, and telephone number if you are a business contact such as an employee of one of our clients or partners, or one of our employees or applicants provides us with your contact details as an emergency contact or referee
We may also collect your IP address and other technical information as described in Section 5 of this Privacy Policy
The following are the different sources we may collect personal data about you from:
Directly from you. This is information you provide while searching for a new opportunity, applying for study programs, or during visa application processes. For example, by filling in candidate or student registration forms in person or on our websites (including www.wfr.life) or by corresponding with us in person, by phone, e-mail, messaging app or otherwise. It includes information you provide when you attend our events, webinars, participate in discussion boards or other social media functions on our site, enter a competition, promotion or survey, contribute to a report or interact with us at a conference, and when you report a problem with our site
From an agent/third party acting on your behalf. This may be your own limited company, a recruitment business, or an education/visa agency helping you with applications to WFR Solutions
From suppliers or clients. We may collect your name and contact details as a business contact for your organisation
From our website or apps. We may collect your IP address and other data about your engagement with our website or apps, for example, the pages you view. Our Cookie Policy provides more information
Through publicly available sources with professional or academic relevance. We use sources such as professional social media and networking sites (including LinkedIn), job boards, online CV libraries, and corporate or educational websites
By reference or word of mouth. You may be recommended by a friend, former employer, former colleague, or present employer, or we may get a reference from your previous employer or a named referee included on your application form or CV
Where we collect your information through publicly available sources as set out above, we may use software programmes to help search for suitable candidates or students for particular roles or programs

We use your personal data so that we can provide our services to you, including to:
carry out our obligations arising from any contracts we enter into with you
provide you with information about job vacancies, study programs, and visa opportunities and assist you in finding a suitable position or program by matching your skills, experience, and education with potential employers or institutions. We initially collect basic information such as contact details, role/program interest, and experience, then collect more information at interview or application stages
if you work for a client or potential client looking to fill roles, contact you about candidates, and share your contact details with candidates or applicants, at interview stage and subsequently
maintain our business relationship where you are a user of our website, a client, or candidate
provide recruitment, study guidance, or visa assistance services and support businesses’ or students’ resourcing or application needs
manage temporary or contract assignments if you are engaged by WFR Solutions as a temporary worker
assist in managing our relationship with you and our clients, and perform administration or operational functions
match potential employees’ or students’ skills and education to suitable roles or programs, or contact you about opportunities with WFR Solutions
share information with certain third parties (see Section 9 below)
record your IP address, operating system, and browser type for system administration and to analyse visitor trends and traffic on our websites; this information does not identify you individually and is not normally passed to third parties. We may also use your data to ensure that content from our site is presented in the most effective manner for you and your device

We do not carry out any automated decision making in relation to any data subject whose data we hold. There is human intervention in all our processing of personal data. We do not score or profile our data subjects
We use Artificial Intelligence to carry out the following limited activities:
summarizing CV/resumes
creating executive summaries and/or overviews of a candidate’s qualifications, skills, and experience
identifying specific skills or characteristics of candidates from their CV/resume that are required for a role, such as fluency in a specific language or preferred location
creating emails to candidates in relation to a specific role or roles
creating emails to clients in relation to a specific candidate
creating screening or interview questions based on a particular job specification or a candidate’s CV/resume summary
Your data is ringfenced within our systems and is not:
used to train any AI tools other than our own ringfenced AI tool
made public through the AI tools
used to develop any other AI or product or service, whether of WFR Solutions or any third party

We only retain your information for as long as is necessary for us to use your information as described above or to comply with our legal obligations. We may retain some of your information after you cease to use our services if necessary to meet legal obligations, such as for tax and accounting purposes

the end client who you may be placed with through an intermediary such as an RPO or education/visa partner
our employees or other parts of WFR Solutions globally (including subsidiaries and parent company)
suppliers, contractors, and agents performing services for us, such as professional advisors (accountants, lawyers), IT software and service providers, research and mailing houses, event organisers, payroll and financial service providers, analytics and search engine providers, credit reference agencies, insurance brokers, compliance partners, and other sub-contractors for assessing your suitability for a role or program
third parties in connection with business sale, merger, liquidation, receivership, or transfer of assets provided they use your personal data only for the purposes you provided it
prospective partners, clients, and other reputable third parties to disclose aggregate statistics about our site visitors and candidates for lawful purposes, without including personal identifying information
if required by law, a court order, or a regulatory authority, or if necessary to protect, defend, or enforce the rights of WFR Solutions
For candidates, contractors, referees, clients, and applicants to work with WFR Solutions, our processing is necessary for our legitimate interests. As a recruitment, study, and visa assistance business, we introduce candidates and students to clients, educational institutions, or program providers for permanent employment, temporary placements, study programs, or independent professional contracts. The exchange of personal data of our candidates, students, and client contacts is essential for assessing suitability for potential roles or programs, finding candidates or students, and contacting clients and referees
To support our candidates’ and students’ career or study aspirations and our clients’ or institutions’ resourcing needs, we maintain a database of candidate, student, and client personal data, containing historical information as well as current requirements. To maintain, expand, and develop our business, we record personal data of prospective candidates, students, and client contacts
We need to attract suitably qualified and experienced staff and partners to maintain, expand, and develop our business and comply with legal and contractual obligations to clients, candidates, students, and temporary workers
We carry out a balancing test to ensure that our processing is necessary and that your fundamental rights of privacy are not outweighed by our legitimate interests. We keep a record of these balancing tests. You have the right to find out more about these balancing tests by contacting us
We will rely on contract if we are negotiating or have entered into a placement, study program, or service agreement with you or your organisation
We will rely on legal obligation if legally required to hold information to fulfil obligations, such as disclosure to public authorities, regulators, or investigations
If you are interviewed or submitted as a candidate or student, this may involve processing sensitive personal data such as health information necessary for performing a role or qualifying for a study program, based on national laws
Where no legal basis exists, we will ask for your express consent orally, by email, or online for the specific activity, and record your response. You may withdraw your consent to this processing at any time (see Section 16)
If you do not provide the personal data necessary, object to, or withdraw your consent (where applicable), WFR Solutions may not be able to match you with suitable job, study, or visa opportunities
To better match your profile with opportunities, for business development, systems development, or to allow our suppliers to provide services, your personal data may be transferred to clients, educational institutions, partners, and WFR Solutions global offices
These countries’ privacy laws may differ from your home country. Where we transfer data to a country not deemed to provide adequate protection, we comply with applicable privacy laws and implement security measures and contracts to protect your data
